Field Ops
Manage field sales and service operations with GPS tracking, visit planning, and real-time dashboards.
Welcome to LeadFlow Pro Field Ops.
Field Ops gives your on-ground team a mobile-first toolkit for planning visits, checking in at customer locations, capturing data on-site, and syncing it all back to your CRM in real time — with no manual data entry.
- For lead management, see Lead Management Feature Guide.
- For mobile app setup, see Service CRM on Mobile App Guide.
Note: Field Ops requires the LeadFlow Pro mobile app (iOS or Android). GPS permissions must be enabled on the agent's device for check-in and tracking features to work.
1. Territory Setup
Before deploying field agents, an admin must define territories and assign agents to them. Territories can be defined by city, PIN code, district, or a custom polygon drawn on a map.
- Define Territories – Go to Settings > Field Ops > Territories. Click 'Create Territory' and draw boundaries on the map or select PIN codes/cities.
- Assign Agents – Each territory can be assigned one or more field agents. Agents only see leads and customers within their territory.
- Beat Plans – Create recurring visit routes (beats) within a territory so agents know which customers to visit each day of the week.
- Visit Targets – Set a daily or weekly visit target per agent. Managers see progress in real time on the Field Ops dashboard.
2. Daily Agent Workflow
A field agent's day in LeadFlow Pro follows a structured, mobile-first workflow. All steps happen on the LeadFlow Pro mobile app.
- View Day's Plan – Agents open the app each morning to see their scheduled visits for the day, sorted by route.
- Check In – When arriving at a customer location, the agent taps 'Check In'. GPS coordinates are recorded to verify the visit.
- Capture Data On-site – Fill out visit forms — order details, feedback, photos, custom fields — directly on the mobile app.
- Log Activities – Record a call, demo, or meeting against the customer's lead or contact record.
- Check Out – When leaving the location, the agent checks out. Visit duration is automatically calculated.
- Submit Daily Report – At end of day, agents submit a summary. Managers receive a notification with their team's daily performance.
3. Manager Dashboard
Managers get a real-time bird's-eye view of all field activity through the Field Ops dashboard on the web app.
- Live Map – See the current location of all active field agents on a live map.
- Visit Tracker – Monitor which agents have checked in and checked out, and how many visits remain for the day.
- Beat Plan Adherence – See what percentage of planned visits were actually completed vs skipped.
- Performance Reports – Filter by agent, team, territory, or date range to generate field performance reports.
