Lead Management – Feature Guide
Capture, qualify, score, and distribute leads to the right sales rep at the right time.
LeadFlow Pro Lead Management.
Lead Management is the foundation of your sales process. LeadFlow Pro captures leads from every source, scores them automatically, and routes them to the right sales rep based on your business rules — so your team always works the hottest leads first.
- For pipeline management, see Opportunity Management Guide.
- For follow-up automation, see Activity Management Guide.
Note: Lead scoring models and distribution rules must be configured by an admin before leads start flowing into the system.
1. Lead Capture Sources
LeadFlow Pro can receive leads from virtually any source. All leads land in a unified inbox where they can be assigned, scored, and actioned.
- Web Forms – Embed LeadFlow Pro forms on your website or landing pages. Submissions are instantly created as leads.
- Landing Pages – Build dedicated lead capture pages using the built-in page builder — no developer needed.
- Meta Lead Ads – Connect your Facebook and Instagram lead ad campaigns to automatically sync new leads in real time.
- Google Ads – Capture leads directly from Google Search and Display campaigns via native integration.
- API Integration – Send leads from any external source (website, app, call center software) via the LeadFlow Pro REST API.
- CSV Import – Bulk import existing leads from spreadsheets. Duplicate detection runs automatically on import.
2. Lead Scoring
Lead scoring helps your sales team prioritize which leads to contact first. LeadFlow Pro assigns a score to every lead based on two types of signals:
You can configure scoring rules in Settings > Leads > Scoring Models.
- Explicit Signals – Information the lead has provided: job title, company size, industry, budget range.
- Implicit Signals – Behavioral data: website pages visited, emails opened, forms submitted, content downloaded.
- Score Thresholds – Set a score threshold (e.g. 50+) that automatically marks a lead as 'Hot' and triggers an assignment or notification.
- Score Decay – Automatically reduce a lead's score if they have been inactive for a set number of days.
3. Lead Distribution
Once leads enter LeadFlow Pro, the Distribution Engine routes them to the right sales rep. You can configure rules based on territory, source, lead score, or rep availability.
Note: If no distribution rule matches a lead, it is placed in the Unassigned queue for manual assignment by a manager.
- Round Robin – Distribute leads equally among all available reps in a team.
- Territory-based – Assign leads to the rep responsible for the lead's city, state, or PIN code.
- Source-based – Route website leads to your inbound team and ad leads to your outbound team.
- Load Balancing – Distribute based on each rep's current open lead count to avoid overloading top performers.
