Step-by-step instructions for setting up and managing your LeadFlow Pro account.
Hello, Admin. Welcome to LeadFlow Pro.
This guide has step-by-step instructions on setting up your LeadFlow Pro account. At the same time, you will learn how LeadFlow Pro can help your organization streamline sales, marketing, and customer support operations.

Note: If you aren't looking to configure LeadFlow Pro in a live environment yet, you can create a test environment through the Sandbox. The Sandbox duplicates your existing Live Production account, to test and evaluate features before rolling them out to your team.
1. Prerequisites
Before we begin, here are a few prerequisites –
- LeadFlow Pro account – You will need a paid LeadFlow Pro account. If you do not have one, you can create one by scheduling a demo with our team.
- Missing Features – Some of the features listed here may not be available in your current plan. For more information on plans and pricing, contact our sales team.
- Account Number – Once your sign-up is complete, log into LeadFlow Pro and note down your account number. You will need to quote this number in all communications with us.
2. Setup your Profile
Personal Settings and Organization Settings capture details about you and your organization. Some of these details are used while interacting with your leads, prospects, and customers. Further, as an administrator, you can choose your daily report delivery preferences.
The Billing and Usage section displays your LeadFlow Pro subscription details. You can view all the features of your account and the status of their current usage. Under Manage Subscriptions, you can view the purchase history of all your orders and make further purchases.
Note: Ensure your profile photo and display name are set correctly — these appear to leads when emails are sent from your account.
3. User Management
As an admin, you control who can access LeadFlow Pro and what actions they can perform. You can create user accounts, assign role-based permissions, and organize your team into departments and branches.
- Create Users – Go to Settings > Users & Permissions > Users. Click 'Add User', fill in their name and email, and assign a role.
- Roles & Permissions – Roles define what a user can view and edit. You can create custom roles or use the built-in ones (Admin, Manager, Sales Rep, Marketing User).
- Teams – Group users into teams for easy lead assignment, reporting, and access control.
- Deactivate Users – When a team member leaves, deactivate their account to revoke access while preserving their historical data and activity logs.
4. Security & Compliance
LeadFlow Pro provides multiple layers of security to protect your business data. As an admin, you are responsible for configuring these settings for your organization.
- Two-Factor Authentication (2FA) – Enable 2FA for all admin accounts under Settings > Security.
- Single Sign-On (SSO) – Connect LeadFlow Pro with your identity provider (Google, Okta, Azure AD) to streamline login.
- Audit Logs – Every user action is logged. Review audit trails under Settings > Audit Logs to monitor suspicious activity.
- IP Restrictions – Limit access to LeadFlow Pro from specific IP addresses or ranges.
